Who the app is for

BOSM 26 is a campus event companion for BITS Open Sports Meet, the annual inter-college sports festival hosted at BITS Pilani. Sign-in requires a BITS Pilani institute mail account or an account issued to a registered participant, so the app is not meant for the general public.

Where the schedule comes from

Fixtures, timings and results are entered by the BOSM organising teams through the festival's own control room, and reach the app as soon as they are published. Nothing in the app is written by users, and there is no messaging or public posting between them.

This policy explains what the BOSM 26 app collects, why it collects it, and what you can ask us to do with it. It covers the app and the servers that serve it. The Students' Union, BITS Pilani, is the controller of this data.

What we collect

  • Account details. Your name, institute email address, BITS ID, and the profile photo attached to your institute account. Gender is recorded where an event category requires it.
  • Phone number. Optional. Used only to reach you about an event you registered for.
  • Notification token. If you allow notifications, a push token issued by the notification service to your device installation.
  • Technical logs. IP address, request time, device type and app version, kept by our servers for security and abuse prevention.

What we do not collect

  • No location or GPS data, at any time, foreground or background.
  • No contacts, calendar, photos, microphone or camera access.
  • No advertising identifiers, and no third-party advertising or analytics software development kits.

Why we collect it

Account details sign you in and tell registrations and event entries apart. Notification tokens deliver the alerts you opted into, such as a match moving. Technical logs keep the service available and let us rate-limit abuse. We do not profile you, and we run no automated decision-making about you.

Who else sees it

  • Google. Sign-in is performed against your institute Google account. Google receives the fact of a sign-in, per its own policy.
  • Push notification service. Receives the device token and the text of a notification in order to deliver it.
  • Email service. Receives your email address to send service mail such as a registration confirmation.
  • Hosting provider. Data is stored on servers rented by the Students' Union from a commercial cloud provider and administered by the Students' Union Technical Team.

We do not sell your data, rent it, or share it for advertising. We disclose data outside this list only where the law or the Institute's disciplinary process requires it.

How long we keep it

Account details are kept while your account exists, and go when you ask us to delete the account. Event registrations are kept until the end of the festival they belong to, then archived without your contact details. Technical logs are rotated within 90 days.

How it is protected

Traffic is encrypted in transit with TLS. Sessions use short-lived signed tokens. Passwords, where an account has one, are stored only as a hash. Administrative access to the database is restricted to named members of the Students' Union Technical Team. No system is perfectly secure, and we will notify affected users if a breach puts their data at risk.

Your choices

You can ask us for a copy of your data, ask us to correct it, or ask us to delete your account. Notifications can be turned off in your device settings at any time without losing any other part of the app. Write to the address in Support from your institute mail account, and see Deleting your account for how deletion works.

Children

The app is not directed to children under 13 and we do not knowingly create accounts for them. If you believe a child under 13 has an account, write to us and we will remove it.

Changes to this policy

If this policy changes, the new version appears on this page with a new effective date. Material changes will also be announced in the app before they take effect.

Encryption in transit: yes, every request. Data deletion: yes, on request from your institute mail account. Independent security review: not yet performed.

Permissions the app asks for: network access, and notifications if you allow them. Nothing else.

Deletingyour account

You can have your BOSM 26 account and the data attached to it removed.

  1. Send an email from the institute mail account you signed in with to support@bits-sports.org, with the subject line Delete my BOSM 26 account.
  2. Tell us your name and BITS ID so we can match the request to the right account. We reply from the same address to confirm the request is yours.
  3. We complete the deletion within 30 days of confirming the request and email you when it is done.

What is deleted

Your account, name, email address, BITS ID, phone number, profile photo, notification tokens and event registrations are permanently removed.

What is kept, and why

Server logs that record the fact of a request are kept for up to 90 days for security, then rotated out. They carry no account details once your account is gone.

Deleting the app from your phone does not delete your account. Use the steps above.

Using the app

By signing in to BOSM 26 you accept these terms. The app is provided free of charge by the Students' Union, BITS Pilani, for the duration of BOSM 2026 and related campus activity.

Your account

Accounts are personal. Do not share your sign-in, and do not use another person's institute account. Tell us at once if you think someone else is using your account. We may suspend an account that is being used to impersonate someone, to harass another user, or to attack the service.

Schedules and results

Fixtures, timings and results are published as they are given to us by the organising teams and can change at short notice. Treat announcements at the venue as final.

Content and conduct

Do not attempt to break, overload, reverse-engineer or scrape the service, and do not use it to send abusive content to other users. The BOSM and BITS Pilani names, logos and artwork belong to the Institute and its Students' Union, and may not be reused without permission.

Availability and liability

The app is offered as-is, and it may be unavailable during maintenance or heavy load. To the extent the law allows, the Students' Union is not liable for indirect loss arising from use of the app. Nothing here limits liability that cannot be limited by law.

Governing law

These terms are governed by the laws of India, and disputes fall to the courts at Pilani, Rajasthan.
